How to invite an Employee to Onboard
This guide walks employer administrators through the process of inviting a new employee to onboard via ReadyPay Online (RPO) and Work Hub.

Before you begin
Confirm the following prerequisites with your payroll service bureau before proceeding:
- Your company is active with EarnIn Payroll.
- The EarnIn Service is turned on at the Identity level on your company account.
- The Onboarding Service is turned on at the EarnIn level.
- You have administrator access to your ReadyPay Online (RPO) account.
How to invite an employee to onboard
1. Navigate to the Onboarding Dashboard in RPO
In RPO, go to Company > Onboarding. The Onboarding Dashboard will load.
2. Click "Onboard Employee"
Click the Onboard Employee button on the dashboard.
You will be prompted to select an Onboarding Group. Onboarding Groups are typically organized by state or employee type (e.g., "New Hires — California").
Select the appropriate group for this employee.
3. Enter the employee's information
Fill in all required fields for the new employee, including:
- Full name
- Email address (the onboarding invitation will be sent here)
- Hire date (can be set to a recent past date if the employee has already started)
- Salary, employee type, and department
Double-check that the email address is correct — this is where the onboarding link will be delivered.
Save the employee record.
4. Employee receives the onboarding email
Once the employee is saved, the system automatically sends an onboarding invitation email to the address you entered. The email contains a unique link for the employee to begin their onboarding. The employee should receive this email within a few minutes.

5. Employee clicks the link in their email
The employee receives the invitation email. They should open the email and click the onboarding link.
If the link causes any issues, encourage the employee to refresh their browser cache and/or open the link in an incognito/private browser window.
6. Employee creates an account or logs in
The employee will be directed to create their login credentials for EarnIn. If the employee already has an EarnIn account, they should log in to their existing account.
7. Employee completes the onboarding flow
After signing in to EarnIn, the employee will enter the Work Hub onboarding flow. This is a multi-step process covering personal details, tax forms, direct deposit setup, and acknowledgments. The full onboarding flow is covered in a separate guide.
8. Employer completes employee onboarding
Once the employee has completed the onboarding packet, navigate to the Onboarding Dashboard again.
Click the pencil icon in the onboarded employee's row to finish their I-9, and then press the Complete button in the same row.
You will then be brought to a new page to review all the information on file for this employee. After clicking Create Employee on this page, the employee is fully onboarded.
Troubleshooting

| Employee does not receive the invitation email | Confirm the email address entered is correct. Ask the employee to check their spam/junk folder. |

| Onboarding option is grayed out or unavailable | Contact your payroll service bureau to ensure that EarnIn is active at the Identity level. |
